The DFP customer-focused Order Entry & Sales Support Specialist will manage order processing and provide administrative support to our sales team. The ideal candidate will be responsible for accurately processing customer purchase orders, sales orders, managing order status updates, assisting with sales inquiries, and ensuring a smooth customer experience from order placement to fulfillment.
Key Responsibilities:
Order Entry & Processing
  • Accurately and timely enter and process customer orders into our ERP system.
  • Verify order details, pricing, and terms to ensure accuracy before processing.
  • Coordinate with program management inventory and production teams regarding order status, shipping dates, issues, product availability and lead times.
  • Generate order confirmations as needed.
  • Track and update order status, proactively communicating any changes to customers and the DFP teams.
Sales Support
  • Supports the process of pricing and building customer proposals based on relevant data including historical actuals (data mining and providing assistance building quotes and SOWs)
  • Maintain customer records, ensuring all contact information, order history, and communications are up to date.
  • Help prepare sales reports, forecasts, and presentations as needed.
  • Support spaneting efforts by coordinating email campaigns and outreach to existing customers.
  • Assist in managing customer relationships by responding to questions and providing product information.
Customer Service & Coordination
  • Resolve order discrepancies, billing issues, or returns in coordination with relevant departments.
  • Work closely with logistics and shipping teams to ensure timely order fulfillment and delivery.
  • Act as a point of contact for customers regarding order status, shipping, and general inquiries.

What you need to succeed (minimum qualifications)

  • 2+ years of experience in order entry, sales support, or a related administrative role.
  • Strong attention to detail and accuracy in data entry.
  • Excellent organizational and time management skills.
  • Strong verbal and written communication skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Consistently prioritizes safety and security of self, others, and personal data.
  • Embraces diverse people, thinking, and styles.
  • Possesses a high school diploma, GED, or high school equivalency.
  • Is at least 18 years of age and has authorization to work in the United States.
What will give you a competitive edge (preferred qualifications)

  • Experience with ERP/CRM systems (e.g., Epicor, Salesforce) preferred.
  • Experience in a technical or product-based industry is a plus.
